EAB: Navigate - Identifying Students with Alerts

Summary:

This article will discuss identifying students that have an Alert and associated Tag on their profile based on being identified from a Progress Report(s).

Content:

Progress Reports help support President James W. Dean Jr. strategic priority of 'Enhance Student Success and Well-Being' students will be flagged within Navigate with a Tag if a faculty member marks a student's performance as below average. When this happens a Tag will be associated to the student's profile.  To attain a list of your students that have been Tagged as part of this process, users can run a report and look at the various Alerts to determine the best course of action Faculty and Advisors can take for early intervention. 

If you are running a report for a group of advisors for a specific college use option 2.

Run a search and identify your students with an "Alert" tag.

Once an alert is issued from Progress Reports or otherwise, within Navigate the system will create 2 items.

  1. At risk Progress Report
  2. Alert

Option 1:  Students with Alerts Reporting:

  1. Navigate to the Reporting area

  1. In the second column Intervention Reports click on Progress Reports
  2. Ensure your date range is correct to encompass when the reports were submitted
  3. Within the section Activity Filters, check the box for: Progress Reports Student performance below average
  4. Scroll to the bottom and check My Students Only
  5. Click Search
  6. Once the list is returned, The report will list out the Alert Reasons in the Alert Reason column

 

Option 2:  Advanced Search

  1. Using the blue vertical Global Navigation bar on the left of the page, click on the Advanced Search icon identified by the Magnifying Glass icon.       

 

  1. Expand the filters under "Student Information" by clicking the Gray triangle on the right
  2. Using the Tag (in any of these) field select the corresponding tag to the term in question  Example :  "Alert Fall 2019"
    1.  NOTE: Tags are not associated to the student in real time.  If information is required before the assessment due date (Week 5/6 of a term) Option 1 (above) is better as this will return any student that has an alert for any reason
  3. Expand Area of Study module, select in select the appropriate option ?
    1.  If you only want to have your advisees returned, scroll to the bottom of the page and Check the box "My Students Only" to the right of the Search icon.
  4. Click Search

Example:

If you are looking for all students in CEPS that have an alert your filters would look like the options below:

  1. Once the list is returned, click on the name of any student and navigate to their profile.
  2. In the upper right you will see "Current Alerts" the yellow dot will populate the number of "alerts" on a student.
    1. NOTE : if a single alert is created for a student this value will display as 2, as the system treats each of the items listed as a separate alert as mentioned above.
  3. Click on any of the alerts and the system will navigate you to the respective area of the application where you can see additional details.

Option 3: Look up a single specific student:

  1. Use the Quick Search icon in the upper right using the magnifying glass icon
  2. Type the student's name
  3. Selected the student from the list
  4. Once in the student profile
  5. In the upper right you will see "Current Alerts" the yellow dot will populate the number of "alerts" on a student.
  6. Click on any of the alerts and the system will navigate you to the respective area of the application where you can see additional details.

Results:

These searches/reports will return students assigned to you in Navigate that has an alert associated to their profile. Once an alert is issued from Progress Reports or otherwise, within Navigate the system will create 2 items.  NOTE : if a single alert is created for a student this value will display as 2, as the system treats each of the items listed as a separate alert.

  1. Progress Report Below Average
  2. Alert

 Navigating to Student Alerts & Progress Reports:

  1. While on a student profile click the History Tab     
  2. Using the carat next to the student's name, select Alerts or Progress Reports
  3. Click on Details or View Report to see additional information for each of these
