Qualtrics: Licensing and Terms of Use

The USNH System has licensed the Qualtrics Survey Research Suite, a Web-based survey and data analysis service. This license provides the USNH community with a set of powerful online survey and research tools, and allows an unlimited number of surveys and survey responses annually. Our license also includes Offline Survey capabilities for use with tablet or smartphone devices.

A frequently asked question about Qualtrics is how to transfer ownership of a survey and its response data to another person when someone has left a department. Details are available on how to address this issue.

Terms of Use

The Qualtrics survey tools can be used for a variety of purposes, but there are certain kinds of information that should not be asked for, collected, or stored in the Qualtrics system due to security and legal restrictions. These types include:

  • credit card numbers, bank account numbers, or other data to access financial accounts
  • Social Security numbers, driver’s license numbers, tax identification numbers or other similar "personally identifiable information"
  • medical records as defined by HIPPA
  • student educational records as defined by FERPA
  • passwords used to access UNH or other computer services
  • any other data defined as restricted under the USNH Data Classification Policy

Qualtrics should only be used for surveys or other information gatherings that are directly for USNH-related purposes, not for personal or commercial uses. Any use of Qualtrics for academic research is still governed under USNH policies for research and the use of human subjects. The Institutional Review Board has posted some guidance on using Qualtrics for human subjects research.

Please contact your institution's Research Office to access these policies and for assistance. Users of Qualtrics are responsible for their own surveys and survey data, including proper handling of sensitive information when accessing or downloading data from the service.

License Limitations

Each USNH institution does not license all products that Qualtrics offers. Specifically, the following optional components of the Qualtrics Research Suite are not included in USNH’s license. This is not an exhaustive list, but covers ones that users have asked about frequently:

  • File Upload
  • Salesforce Integration
  • myCourses (Canvas) Integration
  • SMS distribution

These items or others can be licensed separately from Qualtrics if there is a need, but costs must be paid by the individual or department using them.

Each USNH institution license for Qualtrics includes access to the company’s support services. If you are new to Qualtrics or need to learn about specific features and capabilities, you can access the online training and documentation at Qualtrics University - www.qualtrics.com/university/researchsuite/. This website includes video tutorials, reference materials, eBooks, and other resources.
