Outlook: Applying Sensitivity Labels

Sensitivity labels allow you to classify and protect your email message content. Sensitivity labels ensure that email messages labeled as "Restricted - Encrypted" are automatically encrypted and not shareable outside of the intended list of recipients. Public, Sensitive, and Protected labelling makes the receiver aware of the level of sensitivity placed on the message by the sender, so they can act appropriately when forwarding the message or sharing its contents.

With the latest updates to Microsoft 365, securing email messages to recipients inside or outside of USNH is seamless.

Sensitivity Labels
Label Explanation
Public This information is publicly shareable without any need for oversight.
Sensitive This message has sensitive content. Do not share.
Protected Please treat this as private, do not share. Required by institutional policy to be protected.
Restricted - Encrypted This message is marked Confidential, encrypted, and not sharable.
Task: To apply a sensitivity label to an email message that you compose in the Desktop version of Outlook.

 

Instructions:

Step 1 - On the Home tab, select New Email.

Step 2 - On the message window menu, click the down arrow to expand the Sensitivity menu.

Step 3 - Choose the label that applies to your message from the Sensitivity drop-down list. Refer to the Sensitivity Label table for guidance.

Outcome: The sensitivity label you selected appears in the InfoBar just above the To field of your email message.

Task: To apply a sensitivity label to an email message that you compose in the Web version of Outlook.

 

Instructions:

Step 1 - Click New message.

Step 2 - On the message window menu, click the down arrow to expand the Sensitivity menu.

Outcome: The sensitivity label you selected appears in the InfoBar just above the To field of your email message.

Task: To open an email message labelled Restricted - Encrypted.

You can open and read any email messages that you have received that are labeled as Restricted - Encrypted without having to install any software regardless of what email provider or email application you use. Receipts that you send email messages to that are labeled as Restricted - Encrypted use this same procedure.

 

Instructions:

Step 1 - When the email message arrives, click Read the message.

Step 2 - When the browser opens, click Sign in with One-time passcode, to request a one-time passcode. The passcode arrives in an email message.

Step 3 - When the email message arrives from Microsoft Office 365 Message Encryption, open it and enter the passcode into the passcode field on the webpage that you made the request from.

Outcome: The webpage displays the Restricted-Encrypted message and includes a warning that this message cannot be forwarded, printed, or the content copied.
