OneDrive: Accessing/Managing Shared Content

This article describes how to view, edit, and remove shared content in your OneDrive (for work or school).

How-To

The Shared with you view displays a list of files/folders that others have shared. After someone shares a file, that file automatically appears in the Shared with you list. The Shared by you view displays a list of files that have been shared with others.

When someone shares a folder and gives permissions to edit it, you can add the shared folder to your personal OneDrive account to make it easier to edit and work with the folder and its contents. If you synchronize the folder to your Windows or Mac computers running the OneDrive app, you can work with the folder offline.

Note: Shared folders added to OneDrive do not use any OneDrive storage space. They only count against the folder owner's storage space.

 

Task: To view/access shared content.

Files and folders in the Shared view cannot be moved into the Files view. Shared files can be copied to the Files view, but any changes made to the saved copy is not reflected in the original file, so no one else with access to the original file can see your changes.

When shared OneDrive file is opened, people with permission to edit that file can see who has opened it along with their name, email address, and profile picture.

If the owner of the original file revokes access or deletes the original file, it disappears from the Shared with you view.

 

Instructions

Step 1 - Open OneDrive.

Step 2 - In the navigation pane on the left, click Shared.

Step 3 - Click Shared with you to view files/folders being shared by others.

Step 4 - Click Shared by you to view files/folders you have shared with others.

Step 5 - Click on a file or folder to open it.

Note: The file/folder owner can ensure that shared content cannot be altered by setting permissions to Read-only. The Read-only icon (pencil with line through it)  displays next to the file/folder name.

 

 

 

 

Tip: If you have edit permissions to a folder, adding the folder to your own OneDrive means you can keep the folder alongside your own folders and items in the Files list. It's also easier to move items between folders, and more easily work on items offline. Any updates made sync with the shared folder, so everyone with access to the folder is up to date. 

 

Outcome

A list of files/folders that are being shared, depending on the tab selected, in the Shared view.  Files and folders can be opened from this view.

Task: To remove items from the Shared with you list.

Shared files or folders that are no longer needed/wanted can be removed from the Shared with you list. When you remove an item from the Shared with you list, the file/folders permissions will not change. Items can be returned to the Shared with you list using it's shared link. The owner can resend this link if it has been lost. 

 

Instructions

Step 1 - Open OneDrive.

Step 2 - In the navigation pane, click Shared.

Step 3 - Click Shared with you.

Step 4 - Right-click on the file/folder, select Remove from shared list.

Step 5 - If prompted to Remove and decline access to this file?, select Remove.

 

Outcome

The selected file/folder no longer displays in the Shared with you list.

Task: To share files/folders in the Shared with you list.

 

Instructions

Step 1 - Right-click on a file/folder in the Shared with you list.

Step 2 - Select Share.

Step 3 - Enter the information needed to send or copy a link. Set permissions accordingly.

Step 4 - Click Send or Copy.

 

 

 

 

 

 

 

 

 

 

 

 

 

Outcome

The file/folder is shared with the selected users. The files/folders are displayed in their Shared with you list.

Task: To change permissions or stop sharing files/folders.

You can share, edit permissions, or stop sharing files/folders that are displayed in the Shared by you. Permissions for individual files inside a shared folder can't be changed. For example, a file in a Read-only folder can't be made editable. To change permissions for items in a folder, either remove them from the folder and re-share them with different permissions, or change the permissions for the entire folder.

 

Instructions

 

Step 1 - Right-click on a file/folder in the Shared by you list.

Step 2 - Select Manage access.

Step 3 - In the Manage access menu, there are options to Stop sharing, Share with additional groups/people, Copy the URL to paste and share, grant Direct access to a group/ person, or Edit permissions for new and existing people/groups with access to the file/folder.

Note: If Stop sharing is selected, the item no longer appears in that person's Shared with me list and they can no longer access it.
