Zoom: Live Automatic Closed Captioning

Zoom has automatic closed captioning available in English. This article will review how to turn automatic closed captioning service on for your use as a host and as a user. Note: These automatic captions are generated by machine learning algorithms, so the quality of the captions may vary.

Enabling and Disabling Auto-Transcription

You will now have the ability to turn on the closed captioning within your Zoom meetings. Click on the "CC Live Transcript" icon in your Zoom meeting controls. If you can not see this button, click on the "More" icon.

CC Live transcript button highlighted and selected in Zoom.

Then look for the option of "Live Transcript" and "Enable Auto-Transcription". Click on the button to provide a transcription in the lower part of your screen.

The live transcript will appear in the lower part of all viewer's screens.

Note: auto-transcription does not work in Zoom breakout rooms

You can also disable the live-transcript while in a meeting by returning to the "CC Live Transcript" button and selecting "Disable Auto-Transcription".

Enabling Caption Transcript Download

You also have the option as the host to allow participants to save transcripts or to turn this setting off. You will find this setting also in your Zoom settings. Toggle the switch on to enable the saving of transcripts by participants.

Viewing Transcription as a Participant

You may see as a participant "Live Transcript is available" above the "CC Live Transcript" button when a Zoom host has enabled live transcriptions.

Once live transcription enabled, participants, have the option to choose how they want to view the transcription under the "CC Live Transcript" button. Click on the button to show your options.

  • Subtitle Settings will open a window where you can adjust the font size of both the subtitles and the chat window.
  • Show Subtitles display subtitles on the screen. You can also select Hide Subtitle once subtitles are selected to hide them.
  • View Full Transcript displays subtitles in real-time with both the speaker's name and time stamp within the transcript pop-up. We recommend this setting as best practice. You will also see a button to enable saving the transcript at the bottom of the screen (this button might not be available if the host has disabled this functionality). If you would like a copy of the transcript, click View Full Transcript and Save Transcript. A copy of the transcript as a .txt file will be downloaded to your machine. Note: The transcript saves up to the moment when you click Save Transcript. We recommend you click Save Transcript just before the meeting ends to ensure you have the transcript from the entire meeting.

Note the CC live transcript will not be shown in your recordings if you are recording your Zoom session.

Best Practices for Using Auto Transcription

  • Consider using an external high-quality microphone, it will clear up the quality of your audio for the live transcription
  • Listen to the room you are in and consider turning down/off anything that makes a considerable amount of background noise
  • If there are any loud disruptions (i.e. fire truck driving by) pause and hold your thoughts until that noise passes
  • Speak slowly, it will help the system capture the words you are saying
  • Consider turning on Non-Verbal Feedback in Zoom, for your participants which have a "Go Slower" indication that can be shown to hosts.

The Zoom support website offers tutorials and FAQs to help you navigate and use Zoom.
