Apple Purchases - Institutional

 

The following instructions are to gain access/register to make online institutional Apple purchases of devices and accessories for your UNH department. This cannot be used for individual purchases. (Prior to ordering, work with your local technical contact to see if your office/department has additional purchasing instructions or restrictions. If you do not have a technical contact, the IT Depot is available to answer questions and offer suggestions on Apple purchases.) READ ALL INSTRUCTIONS THOROUGHLY BEFORE YOU BEGIN.

Step One: Create your Apple "Registered Proposer" Account

  1. Go to  https://ecommerce.apple.com/ and choose US.
  2. Click on "Don’t have an Apple ID? Create yours now."
  3. Enter your business email address. If you already have an Apple ID, you will be asked to sign in, otherwise follow the steps below.
  4. Scroll to the bottom of the page and Agree to the terms of service.
  5. To choose the location, enter "580423" and select (click) Next.
    Note: the institutional account number for the University of New Hampshire is 580423.
  6. IMPORTANT! Choose only the Business Role of " Registered Proposer.
    (Registered Proposers may create quotes, place orders using credit card, check order status up to 8 months, and request returns.)
  7. Enter your manager’s information and click Next.
  8. Review your request. Go Back to edit or click Next to proceed.
  9. If you do not have an Apple ID, you will be prompted to create one.
  10. Your request for access has now been submitted. You will receive an email confirmation from Apple within 6 to 24 hours.
  11. Once your request is approved, you will receive a confirmation email.

Step Two: Sign in to shop

Upon receipt of the confirmation, you are ready to sign in to  https://ecommerce.apple.com

  1. Open any browser and access https://ecommerce.apple.com
  2. Select your country (US)
  3. Log into the store with your apple ID (UNH email address) and password
    • If you forgot your password, click the “Forgot Apple ID or Password?” link and reset your password
  4. Once logged in, you will be taken to the Apple Store for UNIVERSITY OF NEW HAMPSHIRE. There is a tool bar at the top that has all of the major categories for shopping. Move your mouse cursor over any category to open the menu. Click any menu selection to get more information and to choose from inventory

Ordering a Product

Once you have selected a device, it is time to order. Please note that options are dependent on the device ordered. Many of the MacBook’s can be configured to suit your tastes, while items like Apple Watches are not configurable.

  1. In any category, click the device or accessory you would like to order. This will bring you to the product information page. There will be a Quantity box and an Add to Cart button for each product
    • Any device that can be upgraded or configured will have a Configure button as well.
    • To Configure a device, click the Configure button, and select the options, hardware, and services you wish to add. Please note this will add to the overall cost of the product
  2. Add the quantity amount to the Quantity box
  3. Click Add to Cart
  4. Click Checkout to place the order. Shipment defaults to the Memorial Union Building
    • Orders during the quarantine are shipped to Mail Services @ Leavitt Lane despite the address
  5. Select your Shipping Method
  6. Select your Payment method
    • Purchase order: Add your departmental Funding source in the PO number field to be invoiced
    • Procurement Card (PCARD): Select this to use a UNH-approved PCARD
  7. Click on Verify Order
  8. Click Place Order

How to get a Proposal (AKA Quote) from Apple

  1. After adding your purchases to the cart, but before you click Checkout, there is a Send Proposal Link in the upper right-hand corner. Click that to create a proposal.
  2. Fill out your name, phone number, email address, and any comments and press Submit
  3. The proposal will be sent to the email address you added

Frequently Asked Questions

Q. Can I use a PCARD for these purchases?

A. All purchases must be deemed essential and approved by your departmental Director. Please ask your manager, Chair, or BSC staff before making a purchase

Q. What about purchase limits?

A. Limits on a PCARD can be increased for one-time purchases. Please ask your manager, Chair, or BSC staff for more information about this option. Splitting or staggering purchases      is a breach of UNH policy

Q.  May I pay with a Funding Source?

A.  Absolutely, but you need to provide a Purchase Order (PO):

  1. First, generate a proposal using the steps above.
  2. Once you have the proposal, send that to your departmental BSC asking for a Purchase Order
  3. When you have the PO, and you’re ready to check out, select the Purchase Order option under Payment
